Using ready-made marketing communication templates simplifies customer communication by helping teams stay consistent, save time, and deliver clear, engaging messages that reflect your brand’s identity. Templates can be used for emails, SMS messages, promotions, and marketing campaigns.

Creating a Communication Template
To create a new communication template:
Navigate to Patient Communication > Templates.
Click New.
Enter a template name that clearly identifies its purpose (for example, Summer Sun Promo).

Select the Type:
Email
SMS

If the template is for marketing purposes, check Is unsolicited communication.
For appointment confirmations, reminders, or eye exam recalls, do not check this box.
Creating an Email Template
If you are creating an email template:
Select Email as the template type.
Enter the email subject (mandatory). This will be visible to recipients.

Type the message content in the editor.
Use dynamic fields, colors, and fonts to personalize and format your email.
There is no character limit for emails; however, shorter messages are generally more effective.

Hello {Patient.FirstName}!
You purchased new eyewear a couple of weeks ago. We want to make sure you are happy with your purchase.
If you need an adjustment, please do not hesitate to let us know.

Creating an SMS Template
If you are creating an SMS template:
Select SMS as the template type.
Type your message using dynamic fields to personalize the content.
Important: SMS messages usually have a maximum length of 160 characters.
Messages longer than 160 characters might be sent as multiple SMS messages.

Using Dynamic Fields
Dynamic fields allow you to automatically personalize messages with patient or store information.
To add a dynamic field:
In the Dynamic Fields panel, select the category (for example, Patient).
Choose the field you want to insert (for example, First Name).
Click Add.
The selected field will be inserted into your message and populated automatically when the communication is sent.
