Prescription details and patient measurements
1. Select Doctor: Dropdown menu displaying all eye care professionals registered in your database. Identifies the optometrist who prescribed the prescription used for this eyewear.
2. Type Doctor’s Name: Free-text field where you can manually enter the name of the prescribing eye care professional if they are not registered in your database.
3. Optician: Dropdown menu displaying all opticians registered in your database. Identifies the optician responsible for taking measurements.
4. New Lenses: Dropdown menu where you can specify whether the lenses are from a new order or if they are the patient’s existing lenses.
5. Reason: Dropdown menu containing user-defined options that describe the purpose of the eyewear (e.g., single vision, reading, computer, vocational, etc.).
6. Tray: Free-text field where the lab tray number can be entered.
7. Binoculars Button: Allows you to import a prescription and measurements from a previously saved Rx or worksheet.
8. R/L Checkboxes: Unchecking a box hides the corresponding Rx data, useful when selling or redoing only one lens.
9. R → L: Copies all data from the right lens to the left lens.
10. Prism Checkbox: When selected, displays additional fields where prism values can be entered.
11. Prescription: Section where the eyewear prescription is entered. Note: The upper ADD value is typically used for trifocal lenses.
12. Positive Cyl: Checkbox that allows you to enter the prescription using a positive cylinder format.
13. Measurements: Section where eye care professionals enter the measurements required to fabricate the eyewear, such as near and far pupillary distance, and height (optical center, PAL, or bifocal).
14. Warning Messages: Displays alerts indicating missing information needed to place an order. The section typically begins with multiple red messages, which disappear as information is entered. Once all required fields are complete, a green message confirms that the worksheet is ready for ordering.
Lenses, pricing and ordering
15. Unrestricted Lens Combination Checkbox and Lens Combo Boxes: When selected, this option allows you to manually choose any combination of lens design, material, and coating from the combo boxes below.
⚠️ Notes:
Enabling this option bypasses validation, meaning the selected combination may not exist at your lab.
Supplier promotions are tied to the supplier and may not apply if you select lens combinations manually rather than using the existing options in the lens tree.
16. Pair Pricing Checkbox: When unselected, displays two separate pricing columns, allowing authorized users to enter different prices for the right and left lenses. This is particularly useful when selling a balance lens.
17. Lens Catalog: Opens a search window with multiple filters to help you locate lenses across all available catalogs. Similar to the lens tree, but requires manual filter selection to refine results.
18. Lens Search: Allows you to type the exact name of a specific lens design if you’re unable to locate it in the lens tree.
⚠️ Note: The search returns only exact matches.
19. Refresh Button: Click to reload the lens tree to its most current and complete version—for example, after narrowing results with a search or when newly added products do not appear.
20. Rx + Bulk: Enables you to choose between lenses available in both Rx and Bulk formats, Rx-only, or Bulk-only.
21. Lens Category Filters and Filter Button: If lenses are assigned to categories within the catalog, you can select a category and click Filter to display only products that match that category in the lens tree.
22. Lens tree: The lens tree displays all available lens designs along with their compatible material and coating options. When working with an integrated lab, selecting a combination from this list enables you to place orders electronically through WINK—ensuring the lens, design, and coating selected are valid and supported.
⚠️ Note: The lens tree shown on the Rx worksheet may differ slightly from the one on the order form if favorites have been configured or if products have been assigned nicknames to simplify workflow.
23. Other lens specifications: Use this section to indicate any additional lens requirements, such as thickness (e.g., for safety lenses), diameter (for aesthetic optimization), or base curve (to improve frame compatibility or assist with patient adaptation).
24. Lens tree display preferences: If you’ve created favorite lens combinations or renamed products for workflow clarity, you can choose to display only your preferred options by selecting Display favorites only. If certain products were renamed and you prefer to see their official lab names, enable the Display Official Names option.
25. Order Lenses / View Lab Invoice Button: This button allows you to generate a purchase order that can be sent directly to the relevant laboratory. If an order has already been placed, it also allows you to resend the order or view the receiving details, including the lab invoice.
Frame specification and other measurements
26. Action button: The actions available from this button depend on your store settings, user permissions, and the current status of the job (e.g., pending, ordered, or dispensed).
27. Attach file: Attach a frame trace or image to provide additional precision for the job.
⚠️ Note: attaching a file to the worksheet does not guarantee it can be transmitted to the lab.
28. Frame inventory status: Specify whether the frame is taken from inventory, needs to be ordered from the manufacturer, or belongs to the patient (no frame sale).
29. Frame search bar and barcode display: Type a frame model, SKU code, or WINK serial number (#s) to search your catalog; if a serial number is entered, it will appear in the Barcode section below.
30. Create new product: Create a new frame entry if it does not already exist in your inventory.
⚠️ Note: this option is available only to users with the appropriate permissions.
31. Take inventory from: Indicates which inventory the frame should be depleted from; selecting the correct source is essential when managing frame inventory in WINK.
32. Frame specifications: Displays the frame’s details, including brand, model, material, type, and shape.
33. Frame price: Shows the retail price of the frame when it is being sold.
34. Frame shape: Displays the frame shape based on the measurements entered.
35. Frame shape modifier: For frames requiring shape adjustments (e.g., rimless frames), select this option to access additional modification tools.
36. Required frame measurements: Lists the essential dimensions needed for lens diameter calculations, ordering, and edging.
37. Optional measurements: Allows you to specify an alternate lens diameter or note a special frame base curve. ⚠️ Note: values entered here do not guarantee they will be accepted or applied by labs.
Extra Charges Tab
This tab allows you to specify any additional options for the job, including lens options from the lab’s catalog or user-defined items such as frame parts, edging fees, or surcharges. You can also add or adjust pricing as needed. When extra charges are added, the tab displays in red color along with the number of items added.
For more information on why options display in different fonts, read the article: Extra Charges: Messages next to Lens Extra Charges on a Worksheet.
Extra Parameters Tab
This section allows you to input additonal measurements specific to certain types of lenses. Mandatory fields will be marked with an red star to make sure it is completed and is ready for electronic ordering via WINK.
Lab Instructions and Additional Notes tabs
These tabs allow you to add instructions or specifications related to the job.
Lab Instructions
Use this tab to provide short, concise instructions that will be forwarded to the order form. Labs can only accept a limited number of characters due to system constraints. You may also indicate the reason for redo, if it's a warranty. Notes entered here will copy to the order form, where they can be edited or removed before sending; however, changes made on the order form will not sync back to the worksheet.
⚠️ Important Notes:
Long notes may prevent the lab from receiving the order, increasing turnaround time.
Any lab instruction can delay the order, as it requires manual review by lab staff.
Marking a job as “RUSH” in the lab instructions may actually slow processing, since it triggers human review instead of automatic processing.
Additional Notes
Use this tab to add internal notes that do not affect the order process. Notes here are not copied to the order form.
⚠️ Important Note:
There is a limit of 180 characters for printing purposes.
