Transferring a Credit Note Between Customers

Learn how to transfer a credit note or store credit from one customer to another, such as between family members.

Overview

A credit transfer allows you to move a credit balance or credit note from one customer’s account to another.

Example:
Susan has a $200 credit note on her file and wants to transfer it to her husband, Bill, to use toward his eyewear purchase.
Susan’s credit may come from a product return or other adjustment.


Before You Begin

Make sure your store has a payment method called Credit Transfer (manual).
To verify:

  1. Go to Company → Stores → Payment Methods.

  2. Check if Credit Transfer exists.

  3. If it doesn’t, follow the steps outlined here to add it.


Step 1: Apply the Credit Transfer from the Original Customer

  1. Open Susan’s profile and locate the credit note.

  2. Click [Pay] and select Credit Transfer (manual) as the Payment Method.

  3. Click the green checkmark to confirm, then click [Done]

  4. Close the credit note and Susan’s profile.


Step 2: Apply the Credit to the Recipient’s Invoice

  1. Open Bill’s invoice.

  2. Click [Pay] and select Credit Transfer (manual) as the Payment Method.

  3. Enter the credit amount being transferred.

  4. Click the green checkmark, then [Done].

  5. If there’s a remaining balance, click [Pay] again and follow your regular payment process.


Optional: Add a Note for Reference

You may want to:

  • Add a note in both patient profiles, or

  • Add a comment directly in the invoice and credit note to indicate the transfer.

Your Payments Received Report will show both sides of the transaction under the payment type Credit Transfer, balancing the transfer from Susan to Bill at zero.
